Terms of Service

These terms cover your use of EzyBook. They are written to be read, so they say plainly what you get, what you pay, and what happens to your data if you stop paying or decide to leave. If anything here is unclear, email us before you agree to it — info@procraft.ae.

1.Who these terms are between

“We” and “us” means EzyBook, a company registered in India. “You” means the business that opens an account, and anyone you give access to it.

By creating a workspace you accept these terms on behalf of that business, and you confirm you are authorised to do so.

2.What the service is

EzyBook is business software you use over the internet: stock, sales, purchasing, and — where you have added them — accounting, payroll, an online store, and Shopify synchronisation.

Each customer gets a separate workspace at its own web address, with its own database. Your records are not mixed with another customer’s in a shared table.

We improve the software continuously. Features may be added, changed, or retired. We will not remove something you rely on without telling you first, and we will not reduce what your paid plan includes during a period you have already paid for.

3.Free trial

New workspaces start with a 14-day free trial. No card is required to begin, and you are not charged automatically when it ends.

The trial is the full product, including any modules you selected. You can add or remove modules during the trial at no cost; doing so does not change your trial end date.

If you do not subscribe by the end of the trial, your workspace enters the read-only period described in clause 7 rather than disappearing.

4.Plans, modules and changes

A plan sets how many staff logins and locations you get. Capabilities — accounting, Shopify, online store, HR & payroll, UAE e-invoicing — are separate modules. You are never required to buy one module in order to get another, except where one genuinely depends on another (UAE e-invoicing needs accounting, because it files from your ledger). Where that applies, we tell you at the point of purchase rather than adding it silently.

Upgrades take effect immediately. You pay the difference for the remainder of the current period only, calculated pro rata from the day you upgrade.

Downgrades and removals take effect at the end of the period you have already paid for. We do not refund the unused part of a period, because you keep full use of it until it ends.

Prices are fixed for what you bought. Your subscription is pinned to the plan version you signed up on. If we change our prices, your existing subscription is not repriced. A price change reaches you only if you choose to move to a newer plan, and we will tell you before that happens.

5.Billing periods

You choose monthly or yearly at signup and can change it later. Yearly is charged as ten monthly payments — two months free — taken once for the year ahead.

Subscriptions renew automatically for the same period until you cancel. You can cancel at any time; cancelling stops the next renewal and does not end the period you have already paid for.

6.Fees, payment and tax

Fees are shown in AED or INR — whichever matches the country your workspace is registered in — before you commit, with the plan and each module listed separately, and are payable in advance for each period.

In India, payment is taken by card, UPI, netbanking or wallet through our payment provider, Razorpay. In the United Arab Emirates, payment is taken by card through our payment provider, Stripe. In both cases we never see or store your full card number.

Tax. The prices we quote are the amounts you pay. We are not currently required to add VAT or GST to them, so no tax is added at checkout and no tax invoice is issued. If that changes — because we become registered for GST in India — we will add the applicable tax to future invoices, show it as a separate line, and tell you before the first invoice that carries it. Any tax you owe in your own country on your purchase remains yours to account for.

If a payment fails we will retry it and contact you. Clause 7 describes what happens if it stays unpaid.

7.If payment stops — exactly what happens

Nothing is deleted the moment a payment fails, and nothing happens without warning. The sequence is:

  1. Payment overdue. Your workspace keeps working normally. You see a notice in the app and we contact you.
  2. Read-only, for 7 days. You can still sign in, read everything, run reports and export your data. You cannot post new transactions.
  3. Suspended. The workspace stops serving. Your data is retained, not deleted. Paying at this point restores it.
  4. Deleted, 7 days after suspension. The workspace and its database are removed permanently and cannot be recovered.

That is at least 14 days from suspension-triggering non-payment to deletion, and you can export throughout the read-only period. If you need longer, ask us before the deadline and we will normally agree.

8.Your data is yours

You own the business records you put into EzyBook — your products, customers, suppliers, invoices, stock movements and ledger. We claim no ownership of them and we do not sell them, share them, or use them to train anything.

You can export your data at any time, including while your workspace is read-only. On request we will provide a copy of your database.

We access your workspace only to operate the service, to fix a fault, or when you ask us for support. Every administrative account and every change inside your workspace is recorded in an audit log you can read, with the user, the time and the IP address. See our Privacy Policy for the detail, including the vendor administrator account that exists on every workspace.

If you cancel, we keep your data for the retention period in clause 7 and then delete it. You may ask us to delete it sooner.

9.Your responsibilities

Keep your credentials secret, and give each person their own login rather than sharing one. You are responsible for what your staff accounts do, and for setting their permissions appropriately.

You are responsible for the accuracy of what you enter, and for your own legal and tax filings. The software calculates from what you give it — it does not audit your business, and it is not a substitute for an accountant.

Do not use the service to break the law, to store other people’s data without a right to, to attack or overload our systems, or to resell access without our written agreement.

10.Availability and support

We aim to keep the service available at all times and take regular backups, but we do not offer a guaranteed uptime figure and you should not read one into these terms. Planned maintenance is announced in advance where practical.

Support is by email at info@procraft.ae. We answer during Indian business hours — IST, an hour and a half ahead of the UAE — and aim to reply within one working day.

11.Other companies involved

Running this service requires a few others: a hosting provider for the servers, a payment provider to take payment, and an email provider for notifications. If you enable the Shopify module, your product and stock data is sent to Shopify because that is what the feature does.

Our Privacy Policy names them and says where your data is stored.

12.Liability

We provide the service with reasonable skill and care, but not with a guarantee that it will be uninterrupted or error-free.

Our total liability to you in any twelve-month period is limited to the amount you paid us in that period. We are not liable for lost profits, lost business, or lost or corrupted data beyond restoring from our backups.

Nothing here limits liability that cannot lawfully be limited, including for fraud.

13.Ending the agreement

You may cancel at any time from your subscription settings or by emailing us. We may suspend or end your account if fees stay unpaid after the process in clause 7, or if you use the service in a way that breaks clause 9 and do not stop after we ask.

If we ever discontinue the service entirely, we will give you at least 90 days’ notice, refund the unused part of any period you have paid for, and make your data available for export throughout.

14.Changes to these terms

We may update these terms as the product changes. For anything that materially reduces your rights, we will tell you at least 30 days before it takes effect, and you may cancel and be refunded the unused part of your period if you do not accept it.

The date at the top of this page is always the date of the current version.

15.Governing law

These terms are governed by the laws of India, and its courts have jurisdiction over any dispute. If you are in the UAE, this does not remove any right you have under UAE law that cannot be contracted out of.
